Reservations Terms and Conditions

HOW TO MAKE A RESERVATION:

Please contact Kivotos of Aegean Travel. We will then send you our offer for the package you have requested. If the package is to your liking then we will require a deposit to proceed with the reservations. You will then receive, via email, the detailed itinerary together with the hotel vouchers.

 

PAYMENTS:

Payments can be made by:

1. Credit Card. 
We accept Visa and MasterCard without extra charge.
For American Express there is a 3% supplement charge for bank expenses.

DEPOSIT & FINAL PAYMENT:

30% deposit is required to book a vacation package.
The remaining amount (70%), is due 45 days prior to arrival date
Bookings received less than 45 days prior to arrival must by accompanied by full payment.

 

CANCELLATION POLICY:

Once a partial or full payment has been made, cancellations will only be accepted in writing (email or fax), and are in effect 24 hours after the date we receive them.


Cancellations up to 45 days prior to arrival: 15% charge of total package price.
Cancellations 45 to 30 days prior to arrival: 25% charge of total package price

Cancellations 29 to 21 days prior to arrival: 40% charge of total package price
Cancellations 20 to 08 days prior to arrival: 80% charge of total package price 
Cancellations 07 days or less prior to day of arrival, & no-show: No refund

Group payment & cancellation policy:
For groups of 10 persons or more, a different payment and cancellation policy applies. Please contact us for details.

 

AIR TICKETS:

Air tickets are payable in full upon issuing.

Once issued, air tickets are non-refundable.

 

CHANGES AFTER DEPOSIT: 

Euro 40 per revision plus any expenses imposed by suppliers.
Airline amendments are subject to airline re-booking fees.

 

PRICES:

Prices are per person and based upon shared twin room occupancy. In case of human or computer error, Kivotos of Aegean Travel reserves the right to re-invoice for the correct price or service. A full refund will be made to passengers who choose not to pay an increase, provided we receive a written cancellation within five days of the price increase notification. 

HOTEL OVERNIGHT TAX:
An overnight government tax will be charged to the travelers upon arrival in all hotels. This tax is not included in our package price, and needs to be settled in cash by the travelers directly to the hotels. Tour operators cannot prepay this tax on behalf of their customers. 

 

CREDIT CARDS:

We accept Visa, Mastercard, and American Express.
For American Express there is a 3% supplement charge for bank expenses.
Credit card charges will be accepted only upon submission of a completed
Credit Card Authorization Form. Third-party credit cards are not acceptable.

 

CHANGE OF DATE:

Passengers may change the date of their tour any time prior to final payment due date, for a fee of Euro 40 per person. The new date must fall within the 12-month period from the original date of travel. Changes are not allowed, either to the tour program or to the passenger names. Change of date is based solely upon availability. Passengers will bear additional costs if applicable.

 

HOTELS:
In case of non-availability, similar hotels to the ones mentioned at the packages will be used. All featuring hotels are carefully selected among the best of every category and include daily breakfast and hotel taxes.

CRUISES:
All cruise line itineraries; rates and vessels are subject to change by each cruise line company, without prior notice.
Sequence of events and places visited may change from the order shown due to unforeseen circumstances beyond our control.

 

TRAVEL PROTECTION & INSURANCE

Travel insurance is not include in the tour prices. The cost of your trip may increase, due to personal emergencies that may affect your travel plans. We therefore highly recommend you purchase a comprehensive travel insurance policy to cover all aspects of your tour including loss of deposits and payments through cancellation, loss of baggage and personal items, injury etc.

RESPONSIBILITY:
Kivotos of Aegean Travel hereafter called the tour operator and / or their representatives act only as agents for transportation companies and other companies. The responsibility of the tour operators and / or their representatives is limited. The tour operators and / or their agents will not accept any responsibility in the event of damage, loss accident, illness, delay or other irregularity due to defects in any vehicle use for transportation or the fault or default of any company or person employed in the organization of the transportation. The tour operators and / or their representatives will not accept any responsibility for extra cost due to delay, changes or any other reason. The tour operators and/or their representatives are not responsible for any consular, political or military complications created voluntarily or involuntarily by the passengers or any other person. The operators cannot be held responsible for any fault or default or negligence by hotel owner or his employees. The tour operators reserve the right to decline, to accept or retain any person and to change or cancel the tours, if necessary, for any reason. The airline tickets shall, when issued, constitute to the sole contract between the passengers and the airline. The airline is not to be held responsible for and act, omission or event, when the passengers are not on board its aircraft. Any deposit will represent acceptance of all the above-mentioned conditions.

 

ITINERARY AND HOTEL VARIATIONS:
Occasionally, during holidays and certain periods, due to unforeseen circumstances, the local Tour Operator may have to make last-minute changes, sometimes after arrival, in the sequence of the tour and/or hotels. Therefore, we reserve the right to substitute any of the hotels with no cost adjustment.
